This policy explains how Rookie Fitness Center (“Rookie”, “we”, “us”) handles personal data when you visit our website, create an account, train with us, or work as a coach. We operate in North Macedonia and process data in line with the Law on Personal Data Protection.
1. Who we are
Rookie Fitness Center is a gym in Gevgelija. For privacy questions, speak with reception or write to us through the contact details posted at the gym.
2. Data we collect
Depending on how you use Rookie, we may process:
- Account details — name, email, phone number, date of birth, and password (stored as a hash).
- Profile photo — used to identify you at the gym and on your member or trainer profile.
- Membership and payments — plan, subscription dates, and amounts in MKD recorded by gym staff.
- Training activity — group and 1-on-1 enrollments, waitlist requests, session times, and assigned coaches.
- Gym access — door and visit records when you enter or leave using our access system.
- Support and security — messages you send us, login sessions, and basic device information needed to keep accounts safe.
If you only browse the public site, we collect the technical data needed to serve pages (such as IP address and standard server logs).
3. Why we use it
We use personal data to:
- Create and secure your account (cookie-based session, not a public token).
- Sell and administer memberships and training bookings.
- Assign coaches, run classes, and email you when a waitlist spot opens.
- Control gym access and keep a visit history.
- Improve the website, apps, and coaching experience.
- Meet legal, accounting, and safety obligations.
4. Cookies
After you log in, we store a session cookie so you stay signed in on the member or trainer app. That cookie is required for the service to work. We do not use advertising or analytics cookies on the landing site. You can delete cookies in your browser; doing so will sign you out.
5. Photos and access control
A profile photo may be required so staff and the access system can confirm you are the account holder. Photos are not sold and are not used for marketing without a separate yes from you.
6. Who can see your data
Gym staff (admins) can see membership, booking, and access information needed to run the gym. Assigned coaches can see the members on their sessions. We use hosting, email, and storage providers under contract. We do not sell your data.
7. How long we keep it
We keep account and membership records while you are a member and for as long as the law requires after that (for example tax and access logs). Cancelled training enrollments may remain in history. You can ask us to delete or correct data where the law allows.
8. Your rights
You may ask to access, correct, or delete your data, restrict or object to certain processing, and lodge a complaint with the Agency for Personal Data Protection of North Macedonia. You can update many profile details yourself in the member app.
9. Children
Our online registration is for people who can enter a membership contract. If you are under 18, a parent or guardian must agree before we create or run an account for you.
10. Changes
We may update this policy. The date at the top will change when we do. For material changes we will notice members through the app or email when we can.
